Terms & Conditions

These terms set out how we work together, what you can expect from us, and what we ask of you in return. They are written to keep every project clear, fair and protected on both sides, so each shoot and each piece of work runs smoothly and you always know where you stand.
Agreement to Terms
By booking Finest Spaces Studio Ltd ("Finest Spaces", "we", "us") or using our site, you agree to these terms. Confirming a booking, approving a quote, or making any payment towards a project means you accept them in full, and no signature is needed for them to apply. We may update these terms from time to time, and the version shown on this page when you book is the one that governs your project.
A Few Definitions
To keep things clear, a handful of words carry a specific meaning throughout. "Work" or "Deliverables" means anything we create for you, including photographs, video, drone footage, floor plans, virtual tours, websites, designs, code and marketing materials. "Client" means the person or business we are creating the Work for. "Licence" means the permission we grant you to use that Work, as set out below. "Partner" or "account client" means a client we have agreed ongoing or invoiced terms with.
Our Services
We offer photography, cinematic video, drone and aerial work, floor plans, 3D and virtual tours, Energy Performance Certificates, web design and development, social media and digital marketing, and AI-powered development and solutions. Please choose the services that suit your project and tell us anything specific you need, so we can plan it properly and deliver it well. Each service is quoted on its own terms, and the clauses below that relate to a particular service apply whenever you book it.
Quotes and Estimates
- Quotes and estimates are valid for 15 days from the date we send them, unless we say otherwise.
- Every quote is based on the brief you give us, so please share as much detail as you can up front.
- Costs are estimated in good faith, and a variance of up to 10% on the project total can occur where a job runs differently to plan.
- Anything you ask us to change once work is underway, whether agreed in writing or in conversation, may add to the cost, and we will let you know before we proceed wherever we can.
Booking and Payment
- Your booking is confirmed once you receive our confirmation.
- Standard clients pay in full at the time of booking. Partner and account clients are invoiced on their agreed terms.
- Invoices are due within 14 days, and usage rights are released once payment has cleared in full.
- Late invoices carry statutory interest at 8% above the Bank of England base rate under the Late Payment of Commercial Debts (Interest) Act 1998, plus any reasonable recovery costs.
- If you book on behalf of someone else, payment remains your responsibility.
Cancellations and Rescheduling
- Cancel or reschedule free of charge up to 24 hours before your session.
- Within 24 hours, or if we cannot access the property on the day, a £97 fee applies.
- Please allow our photographer a 60-minute arrival window, as London traffic can be unpredictable.
- If we are kept waiting more than 30 minutes through no fault of ours, for example locked doors, wrong keys, or cleaning still underway, the session is treated as a late cancellation.
- For larger productions and commissioned shoots booked on a separate quote, cancelling after confirmation makes you responsible for costs already incurred, and cancelling within a week of the shoot day may carry a fee of up to the full agreed amount.
Weather
We cannot control the weather. Where it may affect exterior, drone or natural-light work, we will suggest moving the shoot in good time, and the same 24-hour notice applies. If you would like us to go ahead regardless, the results are accepted as delivered and any reshoot is chargeable.
Preparing the Property
The property should be clean, styled and ready to photograph at your booked time, as staging and tidying are the client's side of things. Our photographers capture each space beautifully, but as they find it, and for safety reasons they do not move furniture or lift heavy items. Time lost to a property that is not ready, or a return visit caused by clutter, may be chargeable.
Access, Coverage and Safety
- We work London-first, across the UK, and worldwide for hospitality clients. Work outside London may include a travel fee, quoted with your booking.
- Please arrange safe, timely access to the property and every area you would like captured. Parking or congestion charges may be added where they apply.
- Do mention less obvious spaces such as gardens, garages or storage, as we can only capture what we know about.
- Please make sure the location is safe to work in. If conditions are unsafe for our team or our equipment, we may delay, pause or reschedule, and we will always talk it through with you first.
On-Location Briefing
You know your property and your buyer better than anyone, so you, your agent or your designer are always welcome on site to guide the shots and angles you would like. If nobody is present and no brief is given, our photographers will use their professional judgement and deliver their best work. In that case we are not able to reshoot or reschedule for a particular angle that was not requested at the time.
Photography and Editing
Every image is carefully edited to a polished, consistent finish. More involved work such as item removal, decluttering or virtual staging is available and quoted in advance. Our style and creative judgement are part of what you are booking, so a preference for a different look, once the work has been delivered to our usual standard, is not a reason to withhold payment. Please do not edit our images beyond simple cropping or resizing without our written agreement, so the quality stays consistent with our name on it.
AI Enhancements and Virtual Staging
We may use AI tools for finishing touches such as sky, lighting, decluttering or virtual staging, always to present a property well rather than to misrepresent it. Under the Consumer Protection from Unfair Trading Regulations 2008, marketing images must not mislead, so where a room has been staged or significantly enhanced, please label it clearly or show the original alongside. How enhanced images are used in your marketing remains your responsibility.
Drone and Aerial Work
Aerial work depends on CAA rules, airspace and permissions, and some locations fall within no-fly or restricted zones. Where we cannot fly safely or legally, this is not a breach of contract, and we will offer an alternative or a new date wherever possible.
Floor Plans
Floor plans are provided as a guide to layout, produced broadly in line with the RICS Code of Measuring Practice. Measurements are approximate and should not be relied on for valuation. If you ask us to adjust figures against your own records, that change is made on your instruction.
Virtual Tours and 3D
Virtual and 3D tours are delivered as a hosted link to add to your listings or share online. They are not downloadable, and we cover the hosting. The staging and accuracy notes above apply here too.
Energy Performance Certificates
Please check the government register first, as a valid EPC may already exist; if one is found within 24 hours of booking, the cancellation fee applies. Do have any relevant documents and access ready on the day, otherwise the assessment relies on what we can record at the property. An EPC measures energy efficiency rather than size, and any inaccuracy should be raised within 7 days.
Web Design and Development
- We build your site to the brief and scope agreed in your quote, including a set number of revision rounds. Extra rounds or added features are quoted separately.
- Please provide your content, images and brand assets in good time, and check that everything you supply is accurate and yours to use. Delays in content can move the timeline.
- Domains, hosting, third-party plugins, fonts, stock and similar services may carry their own costs and licences, which are your responsibility unless we agree otherwise in writing.
- Once the site is paid for in full, the finished site and its content are yours to use, while any underlying tools, frameworks or third-party components remain under their own licences.
- We cannot guarantee specific search rankings, traffic or results, as these depend on many factors beyond our control, including third-party platforms and search engines.
- Ongoing maintenance, updates and support are offered separately once your site is live, and we may feature the finished site in our portfolio.
Social Media and Marketing
- Marketing and social media work is delivered to an agreed scope, and where it is part of the plan, content is shared with you for approval before it goes live.
- Your accounts, pages and profiles remain yours. You are responsible for the access you give us and for keeping your own logins secure.
- Advertising budgets and platform fees are separate from our fees and are paid by you.
- We bring real care and experience, but we cannot promise specific reach, engagement, leads or sales, as results depend on the market, your offer and the platforms themselves.
- We are not responsible for changes made by third-party platforms, including algorithm updates, account restrictions or outages.
AI Development and Digital Solutions
- AI-powered work is built to an agreed brief, and because these tools are probabilistic, outputs can vary and are not guaranteed to be error-free.
- Please review anything we build with AI before you rely on it or put it in front of your own customers, as final use and its consequences remain your responsibility.
- Some solutions depend on third-party AI providers and their terms, pricing and availability, which can change and are outside our control.
- Where we handle data to build or run a solution, we do so in line with our Privacy Policy and UK GDPR, and you are responsible for the lawfulness of any data you provide.
- Ownership of what we build is confirmed in your quote, while underlying models, platforms and libraries remain under their own licences.
Copyright and Licence
Finest Spaces keeps full copyright and ownership of every image, video and file we create, at all times.
- Once paid in full, you receive a single-use licence to market the specific property or project we shot, across your own listings and channels.
- The licence is personal to you and cannot be sold, transferred, sub-licensed or passed to a third party who was not part of the original project.
- It does not cover use for another property, business or brand, or any resale of the Work.
- Wider, exclusive or campaign use, including partner or third-party use, is easily arranged for an additional fee, so just ask.
- Where a supplier, contractor or partner would like to use the Work, they arrange their own licence with us, priced on the intended use.
- No licence exists until payment clears, and we may feature the work in our own portfolio and marketing unless we agree confidentiality in writing.
Credit and Moral Rights
Where the Work is shared editorially or on social media, a credit to Finest Spaces is appreciated and, for editorial use, expected. On social platforms, please tag us in the post, for example @finestspaces. As the author of the Work we hold the moral right to be identified under the Copyright, Designs and Patents Act 1988, and we reserve the right to charge for use that is uncredited or falls outside the agreed licence.
Proofs and Previews
Only the final files we deliver are cleared for use. Any proofs, previews or work in progress we share for review are confidential and are not for publishing, reproducing or passing on without our written agreement.
Use of Our Work in AI Systems
Please do not use our Work to train, fine-tune or feed any artificial intelligence, machine learning or image-generation system without our written consent. We will not sell or license your delivered Work to third parties for those purposes either, beyond the marketing uses we have agreed together.
Working With Our Photographers
Our photographers are a big part of what makes Finest Spaces, and a great deal goes into training and looking after them. To keep things fair, please do not approach or engage them directly, or through anyone else, for photography or media work outside Finest Spaces, for 12 months after your most recent booking with us. We are always glad to arrange whatever you need through us.
Releases and Responsibility
Please obtain any permissions needed for people, tenants or property featured in a shoot. If a claim arises from your instructions, or from how the finished materials are used, you agree to cover the reasonable costs involved.
Confidentiality and Data
We treat your property and business details as confidential, and handle personal data in line with our Privacy Policy and UK GDPR. Please review delivered files for anything sensitive and let us know promptly if something needs removing.
Liability, Insurance and Indemnity
We carry public liability insurance and take real care on every job. Beyond that, we are not liable for indirect or consequential losses, and our total responsibility for any claim is limited to the amount paid for the service concerned. Naturally, nothing here limits liability for death or personal injury caused by our negligence, or for fraud. Please remove or secure anything fragile or valuable before we arrive, as we cannot accept claims for the incidental knocks or marks that can occur in the course of a shoot. In turn, you agree to cover any claims, damages or costs that arise from unlawful, unauthorised or improper use of the Work by you, or by anyone you have shared it with.
Circumstances Beyond Our Control
We are not responsible for delays or issues caused by events beyond our reasonable control, such as extreme weather, strikes, government restrictions, or transport and network failures. Where this happens, we will keep you informed and put things right as best we can.
Changes to These Terms
These terms apply unless we agree something different in writing. Any changes or alternative terms need our written agreement before work begins, and informal or verbal arrangements do not override what is set out here.
Complaints, Disputes and Governing Law
If something is not right, email hello@finestspaces.co.uk and we will work quickly to resolve it. If a disagreement cannot be settled in conversation, we both agree to try mediation in good faith before starting any court proceedings. These terms are governed by the laws of England and Wales and fall under the exclusive jurisdiction of its courts, including the Intellectual Property Enterprise Court where relevant.
